Description:I. Basic Purpose: Coordinate the day to day administrative operations of the department, as scheduling administration, cashiering, clerical priorities, department meetings, appointment scheduling, and patient registration. These duties are performed accurately and consistently to maintain a patient friendly environment. Assist in the determination and coordination of needed services provided by Information Services, Bio Med, Housekeeping and Materials Resources. Acts as a liaison to physicians providing daily correspondence, changes to policy and procedures and insurance changes affecting daily operations. Assist in determining staffing needs and replacement staffing daily in coordination with MHPG Staffing. II. Major Duties and Responsibilities:

  • Complies with established corporate and departmental policies, procedures, objectives, quality assurance methods, and safety codes. Demonstrates compliance with licensing, regulatory and accrediting agency provisions as required.
  • Consistently demonstrates appropriate and professional communication behavior toward patients, customers, and coworkers. Cooperates with Management and peers to promote an environment of teamwork and collaboration.
  • Deals discreetly with large amounts of confidential information concerning professional and personal performance of staff as well as confidential information pertaining to corporate matters, information contained in minutes, letters and other documents.
  • Acts as the customer service representative for the office or center. Schedules appointments and provide information to patients within the limits of knowledge, office policies and procedures. Collection of payments, conducting insurance pre-certifications/approvals, etc.
  • Responsible for coordinating the daily registration of patients, collecting of payment for services rendered, providing point of service receipts, and conducting insurance pre-certifications/approvals as needed.
  • Supervises departmental secretarial and clerical staff. Assigns work priorities and deadlines, assist in the training of new staff, timekeeping & scheduling administration, make recommendations for performance evaluation and for personnel actions; such as promotions, disciplinary actions, assist in the resolution of grievances.
  • Works with manager or accounting department on budget status reports, act as liaison for manager on accounts, collect, document and balance accounts as necessary. Monitors that department, operates within allocated funds.
  • Works with clinical staff as liaison to ensure efficient patient flow and quality patient care.
  • Composes correspondence, memos, reports and minutes of meeting as instructed or required. Collects and compiles a variety of billing and/or departmental statistical information as required. Performs related duties such as cross checking, proofing, preparation of forms and reports.
  • Assists in the maintenance of established department/office policies, procedures, goals and objectives. Complies with all quality assurance, safety, environmental and infection control directives. Adheres to all codes and requirements of accreditation and regulatory agencies.
  • Attends inservices and/or meetings as required. Enhances professional development through educational programs and/or classes.
  • Assists in determining and coordinating needed services provided by Information Services, Bio Med, Housekeeping, and Materials Management.
  • Acts as liaison to physicians providing daily correspondence, changes to policy and procedures, and insurance changes affecting daily operations.
  • Helps to determine need and arrange for replacement staff due to vacations and illness with MMG staffing coordinator.
  • Maintains annual mandatory education requirements specific to position as mandated by Martin Health System.
  • Performs all other duties as assigned or requested.III. Minimum Requirements (experience, training, and education): To effectively fulfill this position, candidate must meet the following requirements: Minimum education required is a high school diploma or equivalent; two year degree is preferred in secretarial or computer science, business or public relations. Three to five years secretarial/office coordinator/customer service experience required. Computer literacy experienced in word processing, spreadsheets and data base management. Ability to effectively communicate with all levels of associates, patients, families, physicians and general public.
